To ensure the Norfolk Makers’ Festival continues to be successful, and that everyone has a positive experience, all contributors are asked to agree to the following terms and conditions.

– This is a unique event and there is no venue hire charge, at The Forum, or marketing charges to be passed on to contributors invited to be part of the Norfolk Makers Festival programme.

– We also provide tables, chairs, display boards, power sources, marketing, PR, refreshments and Wi-Fi, plus support and advice. Also, the Festival producer, a marketing team and trained events staff.

– In return for all the above we request you provide free hands-on activity and tuition, with all materials provided by you, to members of the public from 10am-4pm on your allocated days.

– Please note the emphasis is on teaching, learning, inspiring, encouraging, sharing knowledge and enabling people of all ages and abilities to learn a new skill or develop existing skills.

– This is not a sales event but contributors who provide free activities are entitled to have a small sales table selling items relevant to the skills being demonstrated and taught. Charities can also have a collection tin.

– Every effort will be made to ensure all contributors have adequate space and resources, but please remember this is a busy event and it is important you keep to the areas and spaces allocated to you.

– Contributors who provide free activities are also entitled to hold bookable, paid-for workshops.

– The allocation of workshop space and time is at the discretion of the Festival producer, Jayne Evans.

– Workshop rooms (separate to the main Atrium) are charged at £10 per hour for contributors who do not have charitable status. Details on how to pay will be provided once workshops are booked in.

– All bookings and monies for workshops are handled by the contributor and not by The Forum; you provide the booking information and we will detail it on the Festival website.

– It is your responsibility to bring adequate materials, staff and volunteers as our event staff are not always available or qualified to provide cover for breaks.

– Please ensure that you have public liability insurance for your free activities, demonstrations and ticketed workshops. You will be asked to provide a copy of your insurance policy.

– Please ensure any equipment or exhibit is insured by you. It will not be covered by The Forum.

– The Forum can provide a limited amount of locked space to keep equipment and materials overnight, if you are delivering consecutive days of activities or workshops, but this is at your own risk.

– Our trained events staff and the event producer will advise you on the safest and most effective way of displaying your work and organising your ‘stand’. There are access, fire exit, sight lines, public safety and many other considerations to take into account.

– Please adhere to the set up and de-rig dates and times agreed with the Festival producer.

– We cannot provide free parking in our car park. The proceeds from the car park are our main source of income and enable The Forum Trust to fund free events, like the Norfolk Makers Festival.

– Space to unload and load vehicles can be organised in discussion with the event producer.

– Hot drinks, biscuits and a break out area will be provided so you can escape the crowds now and again, but please make sure you have cover.

– We will be taking photographs and film footage at the event and using it on social media and for future marketing. If you are uncomfortable with this, please make sure you let the duty manager know on the day.

– Please take away all your rubbish at the end of your activities or workshops and leave your areas clean and tidy. Bring a bin bag with you to make this easier.
